For finance teams

Close the Books. Keep the Control.

URBI Accounting is a double entry engine built for buildings, in Beta inside Premium. Bank feeds reconcile nightly, receipts read themselves, bills walk their own approval chains, and the AI proposes every entry. A person posts it. Month end becomes a review, not a rebuild.

A day in the life

What does a Tuesday look like on URBI Accounting?

A typical day for a controller, from the receipts that were read before you sat down to the payout run drafted at quarter to five. Eight moments, each one the engine doing real work and stopping at the same place every time: a proposal, waiting on a person.

  1. Tuesday, 7:52 AM

The old TuesdayOpen the morning to a folder of photographed receipts and a data entry session nobody scheduled.

The receipts inbox emptied itself overnight.

Every property has its own receipts email. Forwarded receipts and photographed invoices arrive there, get read with a confidence score attached, and land in a review queue. You confirm what posts. The AI never posts anything on its own.

  2. Tuesday, 8:35 AM

The old TuesdayOpen the bank tab, open the ledger tab, and start matching lines by eye.

The bank feed arrived already matched.

Nightly bank feeds run three passes: the matching rules you defined first, then algorithmic matching on amount and date, then HERO reasoning through whatever is left. One unmatched line was a new vendor, so HERO drafted the vendor record and the reconciled expense for you to approve.

  3. Tuesday, 9:45 AM

The old TuesdayA vendor bill sits in an inbox waiting on a signature from someone who is out of the office.

A vendor bill walks its own approval chain.

Bills route through sequential approvers, each with a spending limit of their own. Nothing parks on a desk: the bill sits in the payables queue, never a personal inbox, and always names whose approval it is waiting on. Past a limit it escalates to a board vote rather than stalling, and an approver clears a stack in one pass. Every step is stamped.

  4. Tuesday, 11:20 AM

The old TuesdayThe treasurer emails a question about past due balances, and answering it means exporting two reports and reconciling them by hand.

The treasurer asks. HERO answers from the ledger.

HERO is accounting aware and permission scoped. It holds one definition of past due across the portfolio and it sees charges that were never invoiced, so the number the board gets is the number in the books. The panel showing what it checked lists every record behind it.

  5. Tuesday, 1:10 PM

The old TuesdayFind the overspend in November, when the year is already spent.

The overspend surfaced in month two, not in November.

Monthly grids track budget against actual, and an overspend alert fires the moment a line runs hot rather than waiting for close. Anomaly detection reads three years of history, so a number that looks ordinary but is not gets caught. The forecast counts committed contracts, so promised money hits the line before its invoice does.

  6. Tuesday, 2:35 PM

The old TuesdayMonth end means a week of chasing, a spreadsheet of adjustments, and a close nobody fully trusts.

One bank account, closed in an afternoon.

Close runs per bank account. The AI proposes balanced adjusting entries and cannot post a single one itself. You post what you agree with, the period locks, and posting into a closed period is blocked outright. Reopening it is possible and leaves its own audit timeline.

    The board package explains itself.

The AI CFO writes a daily narrative on the financial reports in two tones, calm for boards and direct for managers. It embeds straight into the branded board package PDF beside the statements, so the numbers arrive already explained and you arrive already read.

  8. Tuesday, 4:45 PM

The old TuesdayEnd the day wondering whether a payout moved money that was never yours to move.

Payouts go out. Trust money stays put.

Payouts run on the cadence you set, vendor receipt emails send themselves, and failures raise an alert instead of hiding in a statement. Held trust and deposit funds never sweep into operating cash, because every line carries its fund from the moment it posts.

The 2 AM list

What keeps a controller up at night?

Everyone who signs off on the numbers carries the same short list. Here is what happens to it on URBI.

If the trust account is wrong, that is my licence, not a typo.

Every line carries its fund from the moment it posts: operating, trust rent, trust deposit, reserve. Deposits are held as liabilities, and payouts can never sweep held trust or deposit money into operating cash. Reserve fund reporting comes out of the same ledger the board sees.

Close takes a week, and I still do not fully trust the number.

Bank feeds run nightly and match in three passes: your own rules, then amount and date, then HERO reasoning through the leftovers. Books arrive up to 90 percent pre reconciled, so close is a review of a short list rather than a rebuild of the month.

The board asks one question and I lose an afternoon to it.

HERO is accounting aware and permission scoped. It holds one definition of past due, it surfaces charges that were never invoiced, and it lists every record it checked to reach the number. The board gets the ledger's answer, not a reconstruction of it.

I am not handing my general ledger to an AI.

You are not. Every adjusting entry, every reconciliation match, every receipt read arrives as a proposal with its reasoning attached, and a person posts it. The AI cannot post anything itself, and closed periods block posting outright.

Corrections turn into a paper trail nobody can follow.

Nothing is edited away and nothing is deleted. Corrections post forward, manual entries can be posted, voided, corrected, or reversed with audit rows written for each, and reopening a closed period leaves its own timeline on the record.

How URBI changes the finance seat

The books are mostly closed before you start.

Nightly bank feeds match against the rules you defined, then against amount and date, then through HERO reasoning on whatever is left. Hand HERO one unmatched line and it drafts the new vendor and the reconciled expense together, ready for you to approve.

See how reconciliation works
  • Three pass matching on every bank line, nightly
  • Books up to 90 percent pre reconciled before close
  • Month end close per bank account, with periods that lock

Money moves through people, not inboxes.

Payables run on sequential approval chains with a spending limit per approver. Past the limit, a bill escalates to the board and becomes a vote with a full audit trail. Recurring bills, batch approval, resident chargebacks, and cheque printing all live in the same place.

  • Approval chains with per approver limits and board escalation
  • Recurring bills, batch approval, and resident chargebacks
  • Vendor tax summaries for 1099 and T4A at year end

Receivables that bill themselves and collect themselves.

Charge schedules generate invoices automatically with credits already applied, and late fees are checked against the property's jurisdiction for legality before a single fee posts. Residents and owners pay from a one time code portal, no app login required.

ReconciliationIn Beta

What if month end started at the finish line?

Reconciliation runs every night instead of once a month, so books arrive up to 90% pre reconciled before you open the close. What is left is a short list of judgement calls, which is the part that was always yours anyway.

  • Your matching rules run first, then amount and date, then HERO on the leftovers
  • One unmatched line becomes a drafted vendor and a reconciled expense you approve
  • Adjusting entries arrive balanced and unposted, because the AI cannot post
  • Closed periods block posting, and reopening one writes its own audit timeline

Is URBI Accounting available today?

It is in Beta, inside URBI Premium. Beta buildings run the full engine now and shape what ships next. Sign up for the Beta program and we will walk you through where it stands and whether your books are a fit.

Can the AI post to my general ledger?

No. The AI proposes and a person posts. Adjusting entries at close arrive balanced but unposted, reconciliation matches and receipt reads arrive as proposals with their reasoning attached, and closed periods block posting outright.

How does URBI handle trust and deposit funds?

Every line is tagged by fund: operating, trust rent, trust deposit, or reserve. Deposits are held as liabilities, nothing is edited or deleted, corrections post forward, and payouts never sweep held trust or deposit funds into operating cash.

What actually happens at month end?

Close runs per bank account. Because the bank feed has been matching all month, books arrive up to 90 percent pre reconciled. The AI proposes balanced adjusting entries, you post the ones you agree with, and the period locks. Reopening it leaves an audit timeline.

Do I have to leave QuickBooks behind?

No. QuickBooks Online syncs two ways with URBI as the system of record and echo suppression to stop changes bouncing between systems. Your accountant keeps working the way they already do.

Does it work across a portfolio?

Yes. Every building rolls up into a consolidated view while each property keeps its own ledger, its own chart of accounts, and its own reporting, so consolidation never blurs the individual books.
