Accurate cash-basis reports, cleaner bills and bank lines, and access that follows permissions
This release corrects the Income Statement, Balance Sheet, Trial Balance, Cash Flow Statement, Budget vs Actual and aging reports so cash-basis figures agree and every report link opens the right place. It also tightens bills, reimbursements, refunds, shared invoices, transfers and bank lines, fixes GL import, and stops staff with access from seeing a false no-permission screen.
Everything in this release
New
AR Aging
Separate line for charges not yet invoiced
AR Aging now shows charges that are not yet on any invoice on their own "Charges not yet invoiced" line, so the invoiced total matches the Balance Sheet receivable.
Recurring bills and templates
Edit line amounts on multi-line templates
Staff can now change the amount of each line on a multi-line expense template from the template drawer, and the template total updates to match.
Permissions
Controls for every accounting permission
The Accounting tab of the permissions editor now has cards for Expenses, Charges, Invoices, Payments, Leases, Bonds, Products, Donations, Financial Aid, Approval Chain, Journal Entries and Locked Period Override, so administrators can switch each one on or off for a person.
Improved
Balance Sheet and Income Statement
Clearer equity and fund lines on the Balance Sheet and Income Statement
The Balance Sheet now shows this fiscal year's net income and earlier years' retained earnings as separate equity lines on both Cash and Accrual basis. The Income Statement only prints fund rows when more than one fund had activity, so Net Income is no longer repeated.
Budget vs Actual and Account Ledger
Variance always on in Budget vs Actual, and a steady Account Ledger
Budget vs Actual now always offers Variance and Variance % in Columns, replacing the separate Compare: Budget + Variance button. The Account Ledger keeps a column identifying each transaction in view instead of a Unit column that was often blank.
Reports hub
Faster cash-basis reports and CAM Reconciliation only where it applies
Cash-basis reports no longer slow down sharply as a property grows. CAM Reconciliation is now offered only on commercial properties.
Bank reconciliation
Clearer held bank lines in Bank Reconciliation
Bank lines waiting on an expense or reimbursement now read "Being created" or "Create did not finish", and a line waiting for a reimbursement to be paid says so. Every refusal to link, match or book a bank line now explains why in a plain sentence.
Reimbursements
Readable reimbursement payout alerts
When a bank connection's automatic Mark paid is refused, staff get an alert naming the payee, amount and description. Reserve fund payout refusals now name the journal entry and the step staff can take.
Contracts
Contracts show refused re-runs and the real approval reason
A refused contract re-run now appears on the contract with its reason, so staff know the bill did not change. Renewals, type changes and cadence or template changes record that reason on the re-approval request instead of a generic Amendment.
GL import
Clearer GL import messages
GL import refusals now open with "Nothing was posted.", use the property's own word for unit and drop technical wording. Exclude warnings and vendor refusals on the Vendors step are announced to screen readers.
Permissions
Permission cards speak your property's language
Permission cards now use the property's own words, such as board, payers, leases, bonds and donations. The Financial Aid card appears only on education properties.
Invoices and payments
Payment screens explain invoices you cannot see
Record Payment, the billing account footer, Write Off and the unit Invoices tab now say your access does not include invoices, instead of showing none or $0.00. Opening such an invoice names the missing Invoices permission instead of "Invoice not found".
Mobile and News
Mobile agenda opens the real record, and news emails keep their formatting
Tapping a ticket, task, booking or event in the mobile dashboard agenda now opens that record. Published and scheduled news emails, including those posted through HERO AI, keep their bold, italics, headings, lists, links and line breaks.
Fixed
Income Statement
Cash-basis Income Statement counts each payment, refund and credit once
Full and partial refunds, bank debit returns, overpayments, unapplied cash, account credit, payment reversals and bills paid in instalments now land on the right invoice and the right amount, with no one-cent drift. Late fees, pledges and invoices from before the ledger started are counted correctly, and imported opening balances are no longer treated as cash activity.
Income Statement, Trial Balance and Balance Sheet
Cash-basis Trial Balance, Income Statement and Balance Sheet now agree
The cash Trial Balance matches the cash Income Statement, every cash event nets to zero, and the cash Balance Sheet balances with Retained Earnings listed once. Paid bills show their full expense, while security deposits, recoverable tax and reimbursement payments stay out of income, and Operating Fund Net Income agrees with Net Income with trust funds on their own row.
Trial Balance and Balance Sheet
Trial Balance and Balance Sheet show the right accounts and comparison columns
The Trial Balance now shows gross debits and credits, puts invoice tax, deposits, bill tax credits, prepaid expenses and vendor deposits on the right accounts, keeps this year's income out of retained earnings and links each beginning balance to its history. Balance Sheet comparison columns balance for later dates, include newer accounts and no longer repeat Variance, trust cash has its own line, and Change in Net Assets opens its detail.
AR Aging and AP Aging
AR Aging and AP Aging match the Balance Sheet
AR Aging now agrees with the Balance Sheet receivable, and AP Aging shows every unpaid bill, including bills with corrected or reversed entries. Paid reimbursements drop off, and aging for a past date matches that date's Balance Sheet.
Cash Flow Statement
Cash Flow Statement shows the right inflows, outflows and basis
Card fees and closed-month reversals appear as outflows, internal cash moves are no longer receipts, there is one Total Inflows figure, and quiet months show opening and closing cash. Invalid date ranges no longer produce figures, and the board package and exports no longer label it Accrual Basis.
Budget vs Actual
Budget comparisons show every budgeted line
Operating Fund Net Income shows its budget, reserve and trust fund rows show a blank budget, and budgeted accounts with no activity get their own line. Category lines show a variance, Total Revenue budget equals its lines, and a refused comparison no longer shows old figures.
Report dates, columns and exports
Fiscal-year periods, the Columns picker and exports work as expected
YTD, Last Quarter, End of last quarter, and Current FY and Prior FY on Expense by Account now follow the property's fiscal year. In Columns, checked boxes look checked, saved choices no longer hang, Compare adds its columns after Apply and the Security Deposit Ledger keeps its subtotals, while exports skip empty comparison columns, the export dialog is no longer hidden and Account Ledger export waits until an account is chosen.
Reports hub and General Ledger
Report links, the Back button and General Ledger drill-downs open the right place
Board Package, Upgrade, Go to Accounting Settings and the board dashboard's report tiles now open what they name, and Back, refresh and shared links keep the open report. Clicking a report amount opens that account's General Ledger as a real link, keeps your saved filters, works across properties and no longer gets stuck loading.
Bills and expenses
Vendor bills pay, void and correct cleanly
Draft, itemized, older corrected and reserve vendor bills can be paid, and a bill already paid from cash or the credit line is refused with a reason. Mark paid records one payment and Undo reverses it, voided bills show nothing owing and clear their payout, pass-through bills can be passed through again, and reversing a correction's reversal counts the original once.
Contracts, recurring bills and templates
Contracts, recurring bills and expense templates keep bills correct
Raising, renewing or renaming a contract on a paid, part-paid or refunded bill now leaves the right amount payable, and changes to rejected or expired contracts keep them paused. Re-running a paid schedule no longer reopens approval or takes cash again, recurring bills generate even with the accounting dashboard switch off, and template lines, amounts and tax stay in step or are refused with a plain message.
Reimbursements
Reimbursements pay once and handle bank returns
Reimbursements created from a bank line reserve, link and release that line correctly, book their cost once and pay the corrected amount. Mark paid refuses voided, draft or reversed claims, and reserve fund payouts handle bank returns, repeat payments and locked months correctly.
Bank reconciliation and HERO AI
Bank lines are booked once, by hand, by rule or by a HERO AI card
A bank line can no longer be booked twice or matched while it is being turned into an expense, held lines release on their own, and Save draft no longer reconciles a line. HERO AI can now create vendor bills, no longer books deposit lines as expenses, stops on lines held for a reimbursement, shows the reason when a card is refused, and reports Correct entry, Void entry retry and quick expense Mark paid results correctly.
Shared invoices
Shared invoices charge the right share in URBI Kore, the Resident App and the Portal
Shares never charge more than the invoice owes, stop charging once an invoice is written off or voided, and settle when credit is applied. Refunds reopen the affected share with a new expiry and a single notice, fully paid shares stay Paid, card overpayments become the payer's own credit, and opening the Portal payment screen no longer blocks staff from recording payments.
Refunds and credits
Refunds, bank returns and credits restore the right balance
A returned or cancelled refund restores the invoice balance once, Paid invoices keep their paid date, and no payout is sent for a refund already taken off the books. Credit can no longer be applied to written-off, void or draft invoices, and a card overpayment moved to a person's account counts once in the Account Ledger and statements.
Transfers
Transfer write-offs clear exactly what is owed
A written-off transfer now writes off exactly what it marks, including imported balances, voided payments, refunds and late fees paid by credit, and leaves unsent draft invoices alone. Corrected cheques, part-applied cheques and credits spread over several invoices are written off once, and the transfer wizard's preview credits each receivable to its own account.
Access, permissions and units
Staff with access no longer see a false no-permission screen
When access is slow to load, pages now retry and offer Try again instead of a no-permission screen, endless loading, or a jump to another page, including Collections, Invoices, Pay bills, Statements, Budgets and several mobile pages. Accounting, unit money tabs and Record Payment now follow each person's permissions, the permissions editor shows and saves the real level, and switching property clears the previous property's records.
GL import, statements and bank debits
GL import, statement batches and pre-authorized debit files complete
The GL import Vendors and Units steps now show the property's vendors, offer an existing vendor instead of a duplicate, keep archived vendors archived, let you exclude rows and handle large vendor lists, and Fees & leases fee rows import again. Statement batches now finish and download, and pre-authorized debit files reach the bank.
Dashboard, mobile and team
Dashboard cards, mobile agenda and team invites report what really happened
Dashboard cards hide expense figures you cannot view instead of showing $0.00, Awaiting Approval shows the real count, All Properties cards say which properties are counted and live updates connect. The mobile agenda shows readable news and tagged notes without false empty days, and onboarding, invites, adding a person and new property setup only report success when it happened and can be retried.
Everyday fixes
Everyday fixes across search, tickets, billing, news, visitors, votes and events
Search bars keep your search when you click away, the Service Tickets comment box takes focus again, the billing account drawer no longer loops after a sign-in expires, and changing a news image saves. Visitor actions say when a change was not made, verified board members see the Vote button, event guests are found regardless of capital letters, and AI summary ratings save.
