Student housing turnover: how universities handle move in at scale

Student housing turnover is the hardest week in property management: thousands of students move out and move in within days, on a fixed academic calendar. Why is student housing turnover harder than normal multifamily turnover?

Because almost every bed turns over at once, on dates the university does not control. A conventional apartment building spreads move ins across twelve months. A residence hall or purpose built student property compresses most of its turnover into a few weeks in August and September, then repeats a smaller version in May.

The scale is real. There were about 15.4 million undergraduate students enrolled in US degree granting institutions in fall 2021, per the National Center for Education Statistics. On the operator side, the 2025 NMHC student housing benchmarking survey alone covered 719 properties with more than 400,000 beds. Every one of those beds gets inspected, keyed, and reassigned on roughly the same weekend.

Turnover week touches every workflow at once: resident records, keys and fobs, inspections, work orders, packages, guests, and a wall of questions from students and parents. How do you get thousands of students into the system before move in day?

You import them in bulk, then let the system deliver credentials automatically on launch day. URBI takes resident information as a CSV import from whatever the housing office already has. When the roster is ready, the import runs, and staff accounts are provisioned immediately so residence life teams can learn the system before students arrive.

On launch day, every student's credentials and sign up instructions go out automatically. Nobody hand types a thousand welcome emails. The sequence looks like this:

  • Housing exports the assignment roster and sends it in for import.
  • Staff and residence life credentials are provisioned right away for training.
  • Students get a heads up that the new system email is coming on a specific day.
  • On that day, credentials and instructions go out automatically to every student.

One honest caveat: URBI works from CSV imports today. There is no live two way sync with student information systems, so plan the export as a step in your turnover calendar.

How do inspection sweeps and maintenance requests work during turnover?

Every unit walk becomes a maintenance request with photos, logged from a phone in the doorway. During a turnover sweep, staff open a ticket per issue, attach photos of the damaged blind or stained carpet, and move on to the next room. Each ticket carries a priority and moves through defined stages from triage to complete, so the punch list for 800 rooms is a live board, not a clipboard.

Vendor coordination is built in. Tickets can be assigned to vendors by category, and vendors work through a tokenized work order portal without needing accounts of their own. That matters in August, when you bring in extra painters and cleaners for two weeks and do not want to manage logins for any of them. What handles the September package surge?

An AI label reader plus smart lockers. September is the cruelest month for a student housing mailroom: every student orders bedding, electronics, and textbooks in the same two weeks. URBI's package operations were built for exactly this kind of surge.

Through registrations and visitor management in the same platform. URBI's registration module tracks the physical items that change hands at turnover: keys, fobs, bikes, storage assignments, and vehicles. Each item is tied to a student record, so at move out you know exactly who has fob 4127 and which bike cage spots free up.

Visitor management covers the rest of the door traffic. Guests, contractors, deliveries, and service visits each get their own visitor type with QR passes, and guest parking is managed digitally.
