AI work order triage: how the queue decides what matters first

AI work order triage reads every incoming maintenance request, scores its urgency, and orders the queue so the dangerous jobs surface first. In URBI, that sorting starts the moment a ticket is created, whether it comes through the resident app or an Arthur phone call, before a manager even opens the queue.

Why does manual work order triage fail?

Manual triage fails because the queue gets ordered by arrival time and noise, not by severity. The resident who calls three times gets served first. The resident who quietly submitted a slow leak behind a wall waits behind a burnt out hallway bulb, because the bulb request came in earlier and the leak sat in a voicemail nobody transcribed until noon.

The cost of that misordering is not abstract. The EPA's mold guidance says wet building materials need to dry within 24 to 48 hours to avoid mold growth. A leak that waits two days in an unsorted queue is no longer a plumbing ticket. It is a remediation project and possibly an insurance claim. Even the slow drips add up: the EPA estimates an average household's leaks waste more than 9,300 gallons of water a year. Multiply that across a building and the boring tickets are quietly expensive too.

Manual triage also depends entirely on who is doing it. A seasoned manager knows a "weird smell near the electrical room" outranks everything else in the inbox. A new coordinator might not. What does AI work order triage actually mean?

AI work order triage means software does the first read of every request: what category it belongs to, how urgent it is, and where it should go next. Concretely, that breaks into four steps:

  • Structured intake. The request arrives as data with a category, a unit, a description, and photos, not as a voicemail or a sticky note.
  • Urgency scoring. The system assigns a priority based on what the request describes, so a leak and a lightbulb never sit at the same level.
  • Routing. Once priority and category are set, the ticket moves toward the right vendor or staff member without a manager copying details into an email.
  • A ranked queue. The manager opens one ordered list instead of reconstructing the day from emails, calls, and memory.

The point is not to remove the manager. The point is that the manager's first hour goes to decisions, not to sorting.

How does URBI triage a service ticket?

Every URBI service ticket enters a TRIAGE stage before it goes anywhere else. Tickets move through seven stages in total, from TRIAGE through backlog, to do, in progress, in review, complete, and archived, and each ticket carries one of four priority levels. That structure sounds simple, but it is what makes the queue sortable at all: nothing skips triage, and nothing sits in the queue without a priority.

Intake is structured from the start. How does the right vendor get assigned?

Once a ticket has a category and a priority, URBI auto assigns the matching vendor by category. The plumbing ticket goes to the plumbing vendor, the electrical ticket to the electrician, without a manager digging through a contacts list. Vendors receive work through a tokenized work order portal, which means they see the job, the photos, and the conversation without creating an account or paying for a seat.

This matters for triage because assignment speed is where good prioritization usually dies. A queue can be perfectly ordered and still slow if every dispatch requires a manager to write an email, attach photos, and chase a confirmation. What does the morning picture look like with HERO?

Does the AI make the final call?

No. AI orders the queue. Humans own the judgment calls. A manager can reprioritize any ticket, reorder the queue, reassign a vendor, or pull something out of TRIAGE entirely, and the system never argues. The AI's ranking is a starting position, not a ruling.

If a board member asks why the lobby door repair jumped ahead of the gym repaint, the record shows who or what set each priority and when.
