Condo Control is one of the most feature rich platforms in condo management, with 40+ modules and strong e voting. URBI is one platform with two built in AI agents, payments that land in the building's own account, and month to month terms. Here is how a board should compare them.
I have sat through enough board meetings to know how software decisions actually get made. Nobody reads a feature matrix out loud. Someone asks "who holds our money," someone asks "can we prove the notice went out," and the treasurer asks "what happens if we want to leave." So that is how I am going to compare URBI and Condo Control: by the questions boards actually ask. If you want the full picture of the platform first, start with what URBI is and the residential overview, then come back.
What does Condo Control do well?
Let me be fair, because Condo Control has earned its position. It has grown into one of the most feature rich platforms in the condo space. With more than 40 modules, it covers a genuinely broad operational spectrum: announcements, virtual meetings, forums, direct messaging, amenity booking with rules enforcement, visitor management, package tracking with front desk logging, work orders, parking control, and online payments.
Two things stand out. First, its e voting and governance tools are strong, a real differentiator for board elections and community decisions. Second, it has solid QuickBooks integration, which matters if your accountant lives in QuickBooks and you want to keep it that way. It also has good documentation and compliance tools, things like violation tracking and architectural request workflows, and it offers portfolio management for operators running multiple communities. Pricing is competitive for small to mid size communities, and there is a growing AI self service capability for residents.
If your community mainly needs broad operational coverage, structured e voting, and a bridge to an existing QuickBooks workflow, Condo Control is a credible choice and a mature one.
So why did we fall for URBI?
Because breadth is not the same as depth, and modules are not the same as one system. URBI was built as a single platform from the start: operations, communication, payments, governance, events, and a resident marketplace in one product, with a full Accounting product now in beta. There is one login for the manager, one app for the resident, and one record for every unit, vendor, document, visitor, and payment.
The difference shows up in three places boards feel every month.
The AI is built in, not bolted on
Condo Control's AI is a newer addition, focused on basic resident self service. URBI ships two distinct agents. HERO is the manager's AI co worker on desktop: ask which units are behind on fees this month, and it queries the live database, files service tickets, drafts news posts, and runs reports, with every tool call logged. Arthur is the resident's agent across voice, SMS, email, and in app chat, in ten languages. A resident calls the building at 11pm about a leak, Arthur answers, files the ticket with the right priority, and notifies the manager. Sensitive actions require a PIN, and every call is transcribed and sentiment scored.
The money goes where it belongs
Each building on URBI is its own Stripe Connect account. Condo fees, amenity charges, event tickets, and marketplace orders land in the building's own balance. URBI never holds the money. For a treasurer, that one sentence ends a lot of debate. Residents pay with Apple Pay or Google Pay in the app, autopay is standard, and a one off payer can settle a charge through an OTP gated portal link with no app download. There is more on how this protects boards in our piece on resident payments and liability.
The audit trail is the product
News posts track delivery per resident, so when someone claims they never saw the special assessment notice, you can check. Board decisions run through a real workflow with votes, automatic quorum tracking, and reminders for members who have not voted yet. Vendor RFPs get per vendor board voting. Every check in, waiver, vote, role change, and AI action is permanently logged. Boards love an audit trail, and URBI gives them one for everything.
How do URBI and Condo Control compare on what boards care about?
| Dimension | Condo Control | URBI |
|---|---|---|
| Platform scope | 40+ modules covering communication, amenity booking, visitors, packages, work orders, violations, parking, and payments | One platform for operations, communication, payments, governance, events, and a resident marketplace, with Accounting in beta |
| AI | AI powered resident self service, a newer addition | Two built in agents: HERO for managers on desktop, Arthur for residents by voice, SMS, email, and in app chat in ten languages |
| Governance and voting | Strong e voting for board elections and community decisions | Board decisions with per vendor RFP voting, automatic quorum tracking, and a permanent audit trail on every vote |
| Payments and who holds funds | Online payment processing with QuickBooks integration for accounting | Each building is its own Stripe Connect account; funds land in the building's own balance, URBI never holds the money |
| Communication delivery tracking | Announcements, virtual meetings, forums, and direct messaging | Per resident delivery tracking on every post, three urgency levels, an AI urgency scan, plus lobby and elevator screens |
| Contract terms | Tiered plans by community size, with per unit fees and add ons for advanced features and larger communities | Month to month, cancel anytime, no service agreement |
What about vendors, screens, and the day to day?
Condo Control's vendor management is basic, closer to a directory. URBI treats vendors as a workflow: a vendor master file with insurance documents and expiry alerts, tokenized work order links so the plumber schedules and uploads completion photos without ever needing an account, and RFPs where the board votes per vendor response. When a certificate of insurance is about to lapse, the dashboard tells you before the vendor is on site.
Communication goes beyond the app too. URBI Display puts news, events, and weather on lobby and elevator screens, with an emergency takeover that overrides every screen in the building in seconds. And because most boards evaluate several tools at once, our condo board software guide and our roundup of condo management software lay out the full decision framework across every tool a board is likely to shortlist.
Frequently asked questions
Is Condo Control a bad choice?
No. It is a mature, feature rich platform with strong e voting, good compliance workflows, and solid QuickBooks integration. Communities that mainly want broad module coverage and an existing accounting bridge are well served by it. The honest difference is depth: URBI goes further on AI, vendor management, delivery tracking, and payments that flow straight into the building's own account.
Does URBI lock us into a long contract?
No. URBI is month to month with no service agreement, and the building can cancel anytime. For boards that answer to owners on a fixed budget, that matters: the platform has to keep earning its place every month instead of hiding behind a term commitment. Onboarding uses CSV import to bring your unit and resident data across.
Who actually holds our residents' payments?
On URBI, the building does. Every building is its own Stripe Connect connected account, so condo fees, amenity charges, and event ticket revenue land in the building's own balance. URBI never holds the funds. Residents pay in the app with Apple Pay or Google Pay, set up autopay, or use a portal link with no account required.
Is URBI's accounting ready today?
The Accounting product is in beta. It brings the general ledger, receivables, payables, AI reconciliation, and direct Plaid bank linking into the same platform, so rent and fee collection flow straight into the books. If you rely on QuickBooks today, Condo Control's integration is shipping and solid, so weigh timing honestly.
Here is the short version. Choose Condo Control if you want broad module coverage, established e voting, and a QuickBooks centered workflow. Choose URBI if you want one platform where the AI does real work, every notice is trackable, the money lands in your building's own account, and you are never trapped by a contract.
