What Is the AI Chief of Staff Email?

Every weekday morning at 8 AM your local time, URBI sends you a personalized briefing called the AI Chief of Staff. Think of it as your morning coffee companion for building governance. It scans everything that happened at your property since yesterday (or since Friday, if it's Monday) and highlights only the things that matter to you as a board member.

This guide walks you through each section of your email so you know exactly what you're looking at and what to do about it.


When Do I Get It?

The email arrives Monday through Friday between 7 and 9 AM in your property's timezone. On Fridays, you'll receive a "Week in Review" that summarizes the entire week's highlights and wins. On Mondays, you'll get a "Week Ahead" edition that covers weekend activity plus what's coming up.


Pending Your Vote

This section shows any open board decisions or votes that are waiting for your input. Each item will tell you what the decision is about and how long it's been open.

What to do: Log into your URBI dashboard and cast your vote. If a decision has been open for several days, it will be flagged as high urgency so you know to prioritize it.


Decision Outcomes

Once votes close, finalized decisions show up here. You'll see the outcome and any relevant context, so you stay in the loop without having to dig through old threads.

What to do: Review for awareness. If a decision requires follow up action from you or the board, it will be called out specifically.


Property Health

This is one of the most powerful sections of your briefing. Property Health gives you a quick read on how well your building is running, scored from 0 to 100.

How the Score Works

Your overall Property Health score is a weighted composite of four dimensions:

Operations Score measures how effectively the building runs day to day. It looks at unit occupancy coverage (how many units have active residents), whether key roles are filled (board members, property managers, on site staff), and how engaged residents are with the platform over the past 30 days.

Adoption Score tracks how well your team and residents are using the URBI platform. Higher adoption means fewer things fall through the cracks and better communication across the board.

Engagement Score reflects how actively your team participates: responding to tickets, updating tasks, and interacting with the platform regularly.

Quality Score looks at data completeness. Are resident profiles filled out? Are vendor records complete with proper documentation? Are key building documents (bylaws, rules, insurance, budget) uploaded?

Reading the Trend Arrow

Next to your score, you'll see a trend indicator:

↑ (Up Arrow) means your score improved compared to 7 days ago. Great news, your building is trending in the right direction.

→ (Sideways Arrow) means the score is steady. Things are stable, which can be perfectly fine if you're already scoring well.

↓ (Down Arrow) means the score dropped. Worth looking into what changed. Maybe open tickets piled up, or a key document expired.

What Board Members See

As a board member, you get the overall score and trend for your property. You won't see granular operational metrics or specific "quick win" action items (those go to your property manager). Your view is designed for governance oversight: a high level pulse on building health without the operational noise.

What to do: If the score is dropping or consistently low, bring it up at your next board meeting or reach out to your property manager to understand what's driving the change. A healthy score means your building operations are humming along smoothly.


Safety and Incidents

Any incidents, safety notes, or risk related items logged at your property will appear here. This keeps you informed about anything that could have legal, insurance, or liability implications.

What to do: Review for awareness and governance. If an incident looks like it needs board discussion, you can flag it for the next meeting or reach out to management directly.


Calendar and Communications

Upcoming events, meetings, and notable communications are summarized here so you never miss an important date.

What to do: Check for anything that requires your attendance or preparation.


Friday: Week in Review

On Fridays, your email shifts to a retrospective format. You'll see a summary of the week's accomplishments, resolved decisions, any highlights worth celebrating, and a "Carrying Into Next Week" list of items that are still open.


Monday: Week Ahead

Mondays start with a weekend activity recap (anything that happened from Friday evening through Sunday) followed by a preview of what's coming up in the week ahead.


Managing Your Preferences

At the bottom of every email, you'll find a Manage Preferences link. Click it to enable or disable the daily briefing without needing to log in (the link stays valid for 7 days). You can also manage this setting from your URBI dashboard under your profile.


Quick Answers

Why don't I see ticket details or task assignments? Your briefing is tailored for governance. Operational details like individual tickets and task assignments go to property managers and staff to keep your view focused on what matters for board oversight.

Can I get the email on weekends? The AI Chief of Staff sends Monday through Friday only. Weekend activity is captured in your Monday morning edition.

I stopped receiving emails. What happened? Check that your preference is still enabled (use the Manage Preferences link from a past email or check your dashboard profile). Also, the system only sends to users who have logged in within the past 30 days, so make sure you're actively using the platform.
