How does URBI handle parent communication?
Every school knows the headache. Some messages go through one app, some through email, the urgent ones go home as paper flyers, and none of them reach every parent. URBI makes the school one channel.
- News and announcements. The administrator writes a post, picks the audience (whole school, one classroom, board only, or a custom group like fifth grade parents), attaches documents, and sends. Three urgency levels and three delivery modes cover everything from a lunch menu update to a weather closure. Push notifications and email both come standard.
- Delivery tracking. The platform tracks who saw each post, parent by parent. When the head of school needs every family reached in sixty seconds, the platform delivers and confirms.

What happens when Arthur does not know the answer?
Arthur escalates to school administration with a summary instead of guessing. An administrator answers once. Arthur adapts that guidance into its own voice, relays it to the parent, and saves it to the school scoped knowledge base with semantic matching, so the next family who asks is answered without the front office being interrupted. Administrators view, edit, and delete those entries, so the answers parents receive are curated by the school rather than improvised. That control matters more in a school than anywhere else. What does URBI do for campus safety and visitor check in?
School safety is not a feeling. It is an audit trail. URBI treats it that way.
Visitor check in. A parent or staff member creates a guest pass with a QR code. The front office scans it at the desk, and the host gets an arrival push instantly. Guests can be typed as guest, contractor, delivery, or service, and a contractor visit can link directly to the maintenance request that brought them on campus. Scheduled guests handle the recurring cases: the after school tutor, the band consultant, the weekly delivery.
Entry gating. Every entry attempt resolves to a clear status: granted, or denied with a reason such as no waiver, expired clearance, or unknown user. The front office sees the reason on the spot. When an auditor asks who entered the building on a Tuesday afternoon, the log answers in one query.
Permission slips and waivers. Waivers run on templates with versions and deadlines, and signed records carry the signer, the student, the timestamp, and a PDF. Active waivers gate field trip departures and after school program entry. No more lost paper slips, and a real audit trail behind every one.
Pickup authorization. A parent pre authorizes an alternate adult, and after school staff scan on release. A grandparent picking up a child can confirm authorization through a one time code portal link, with no app download and no account.
Vendor clearance. Vendor files hold background checks and insurance certificates with expiry dates, and the dashboard surfaces documents nearing expiry so a vendor is never on campus without current clearance. Fob audits surface stale fobs, so a teacher who left a year ago does not keep an active fob.
How do maintenance requests and facility booking work?
Teachers and staff submit maintenance requests from the app with photos: the broken AC, the jammed door, the projector that will not turn on. Requests move through a seven stage workflow from triage to complete, with four priority levels, subtasks, comments, and a full activity log. Bigger efforts like the summer renovation or the gym floor refinishing roll multiple requests up into projects.
Recurring maintenance keeps the compliance calendar honest. The annual fire alarm test, the monthly HVAC filter change, the quarterly playground inspection, and the daily cafeteria sanitation each fire on their own schedule. Nothing falls off.
Vendors never need a login. A contractor receives a tokenized work link by email, schedules the visit, checks off subtasks, and uploads completion photos. When the vendor needs classroom access, the teacher or front office approves or proposes a new time inside URBI.
Facility booking covers the shared spaces every campus juggles: the gym, the auditorium, the cafeteria, the athletic field, the library, the makerspace. Each facility carries its own hours, capacity, booking rules, and features. Per audience rules mean the gym can be free for athletics families but carry an activity fee for community use, automatically. Closing a facility for repair auto detects conflicting bookings so the administrator can resolve or refund in one flow. How does URBI support the board and the business office?
Board governance. Board decisions run through a real state machine with votes, comments, mentions, and automatic quorum tracking. For capital projects, board members vote per vendor on a procurement request, so selecting the HVAC contractor is a first class recorded decision, not an email chain the night before the meeting. The audit trail is permanent.
Payments. Each school is its own Stripe connected account, so tuition, facility fees, registration deposits, facility bookings, and event tickets land in the school's own balance. The platform never holds money. Tuition payment plans, autopay, payment reminders, and Apple Pay and Google Pay in the parent app all come standard. A donor or one time payer can pay through a portal link without creating an account.
Accounting, in beta. URBI's accounting product is in beta now. It brings the general ledger, receivables, payables, bank reconciliation, and budgets into the same platform, and it speaks school: Tuition instead of Rent, Enrollment Roster instead of Rent Roll, Registration Deposit instead of Security Deposit. Tuition collected in the parent app flows into receivables, and vendor invoices from maintenance requests flow into payables.
Events and ticketing. School plays, fundraisers, athletic games, parent teacher conferences, and graduation all run on the same event stack with ticketing, automatic waitlists for capacity capped events like prom, RSVP tracking, and post event surveys with AI summaries. Do parents need to download anything?
Parents use the free URBI app on iOS and Android for messages, events, payments, and maintenance requests. But nobody is forced into it. A grandparent, volunteer, or donor can sign a waiver or make a one time payment through a portal link gated by a one time code, with no app and no account. Arthur also answers by phone, SMS, and email.
Can URBI import our existing family and enrollment data?
Yes, by CSV import. An AI cleanup step fixes messy exports during enrollment roster imports, which helps schools migrating from other systems. URBI does not offer live two way sync with student information systems today, so plan the migration as an import rather than a running integration, and ask us about your specific files.
Is the AI safe for a school environment?
Arthur, the parent facing assistant, splits its abilities into read, write, and approval gated actions. Sensitive requests require a PIN, and actions like releasing student records require administrator approval before anything happens. Every call is transcribed and logged. HERO, the administrator side, logs every tool call with a full audit trail. Nothing the AI does is invisible.
