Overview

URBI Kore's document management system lets you store, organize, and share important property files. Bylaws, governing documents, and other foundational files should be uploaded early so your team and board members always have access to the latest versions.

Navigating to Documents

Click Documents in the left sidebar to open the document browser. You will see a folder structure with system folders created automatically for your property.

Understanding the Folder Structure

URBI creates these system folders automatically:

  • Property Folder: The root folder for property-wide documents

  • Unit Folders: Per-unit folders for resident-specific documents

  • Vendor Folders: For vendor and contractor documents

  • Service Ticket Folders: Documents attached to service tickets

  • News Folders: Documents from announcements

You can create custom folders inside any of these to organize your files further.

Uploading Bylaws and Governing Documents

Step 1: Navigate to the Right Folder

Click into the Property Folder or create a dedicated subfolder (e.g., "Governing Documents" or "Bylaws") by clicking the Add button and selecting New Folder.

Step 2: Upload Files

Click the Add button and select Upload Document, or simply drag and drop files into the document browser. You will see a progress indicator as files upload.

Step 3: Supported File Types

URBI supports a wide range of file types:

  • PDF for official bylaws, contracts, and legal documents

  • Word (DOC, DOCX) for drafts and editable documents

  • Excel (XLS, XLSX, CSV) for budgets and data

  • PowerPoint (PPT, PPTX) for presentations

  • Images (PNG, JPG) for photos and diagrams

  • Video (MP4) for recorded content

Making Documents Accessible to AI

URBI features an AI document assistant. When you toggle the AI Access option on a document, URBI processes and embeds the file so your team can search and ask questions about its content using the HERO AI assistant. This works best with PDF, DOC, DOCX, and TXT files.

Managing Documents

Right-click or use the action menu on any file to:

  • Download: Get a copy to your device

  • Open: View the file in a new tab

  • Rename: Change the file name

  • Move: Relocate to a different folder

  • Copy: Duplicate the file within the property

  • Delete: Remove the file

Multi-Select Operations

Hold Shift and click to select a range of files, or hold Ctrl/Cmd and click to select individual files. Perform bulk actions on your selection.

Tips

  • Create a "Governing Documents" folder and keep your bylaws, declaration, and rules there so everyone knows where to look

  • Enable AI Access on your most referenced documents so your team can ask HERO questions about them

  • Use descriptive file names that include the year or version (e.g., "Bylaws-2026-Amended.pdf")
