Overview

Supporting documents give board members the context they need to make informed voting decisions. URBI Kore allows you to attach files when creating a decision or add them afterward to an existing open decision.

Supported File Types

  • PDF (.pdf) for contracts, reports, and official documents

  • Word (.docx) for draft proposals and written content

  • Excel (.xlsx) for budgets, financial models, and data

  • Images (.png, .jpg, .jpeg) for photos, diagrams, and visual evidence

Maximum file size: 10 MB per document.

Creating a Decision with Documents

  1. Navigate to Board Decisions and click New Decision.

  2. Enter the title, description, and category for the decision.

  3. Attach your supporting files using the upload area below the description field (see the next section).

  4. Click Create Decision. The documents are uploaded to the private documents storage bucket and linked to the decision.

Uploading During Creation

When creating a new decision, you will see a document upload area below the description field. You can either:

  • Drag and drop files directly into the upload zone

  • Click the upload area to browse and select files from your computer

You can attach multiple files at once. Each file uploads immediately and shows a progress indicator.

Adding Documents to an Existing Decision

Open the decision detail drawer by clicking on any open decision. Navigate to the Documents tab (the second tab). From here you can upload additional files using the same drag and drop or click to browse interface.

Files added this way become available to all board members immediately.

How Board Members Access Documents

Board members can view and download attached documents directly from the decision detail drawer under the Documents tab. Files are served through secure signed URLs that expire after 1 hour for security. If a link expires, simply refresh the page to generate a new one.

Document Visibility

All documents attached to a decision are visible to:

  • All verified board members for the property

  • Users with the Board Admin role

  • Users with the Property Manager role

Documents are stored in a private storage bucket and are not accessible to regular residents or unauthorized users.

Best Practices

  • Name files clearly: Use descriptive filenames like "2026-Budget-Proposal.pdf" instead of "doc1.pdf"

  • Use PDF for final documents: PDFs preserve formatting across all devices

  • Keep files under 10 MB: Compress large files or split them if needed

  • Upload before notifying: Attach all documents when creating the decision so board members have everything from the start

  • Include a summary: If attaching lengthy documents, mention key pages or sections in the decision description
