Learn how to upload, share, and control visibility of financial documents in URBI Kore.

Financial documents like budgets, reserve fund reports, and audit results are critical for property management. URBI Kore lets you upload these files and control their visibility so the right people have access.
Navigate to your property's document browser and select an appropriate folder. Consider creating a dedicated "Financial Documents" or "Budgets" subfolder to keep financial files organized separately from other property documents.
Click Add and select Upload Document, or drag and drop your files. Excel spreadsheets (XLSX, CSV), PDFs, and other common formats are all supported.
By default, uploaded documents are private. To control who can see a file:
Public (Eye icon on): Visible to all property members including board members and residents
Private (Eye icon off): Visible only to property managers and admins
Toggle the visibility using the action menu on any file.
URBI lets you tag documents with special flags:
Procedure: Marks the document as an operational procedure (blue flag). Useful for financial processes like expense approval workflows.
Form: Marks the document as a fillable form (orange flag). Only available when the document is both public and AI-enabled.
These tags help your team discover the right documents faster.
For frequently referenced financial documents (like your annual budget or reserve study), enable AI Access from the action menu. URBI processes the file and makes it searchable through the HERO AI assistant. Your team can then ask questions like "What is the 2026 reserve fund allocation?" and get answers sourced directly from the document.
Upload budget documents as PDF for final versions and XLSX for working copies
Keep sensitive financial data private until it has been reviewed and approved for sharing
Enable AI Access on your reserve study and annual budget so board members can quickly find specific figures
Use consistent naming (e.g., "Budget-2026-Q1.xlsx", "Reserve-Study-2026.pdf") for easy searching
