This guide covers collecting a deferred deposit or any other outstanding amenity charge by sending the resident a secure payment link.
Who can use it: staff, board members, or PMs with amenity booking edit permission on the property.
Open the booking's Payment & Refunds tab and click Collect payment. See "The unified collect surface" for the overview.
Check the charge(s) you want to collect. You can collect a deposit on its own, or bundle it with any other outstanding line.
Choose Card.
Confirm. URBI mints a secure payment link for the selected total and sends it to the resident by email and push notification. If you select more than one charge, the resident receives one combined link for the whole amount, not a separate link per line.
The resident receives an email and a push notification with a link to pay. If they're on the resident app, tapping it opens the payment screen right inside the app. If they're not, it opens a secure web payment page. Either way, the charge shows Paid on the booking the moment they complete it.
Choosing Card never charges a stored card without the resident's action. It mints and sends a payment link; the resident still has to complete the payment themselves. If you need money collected the moment you're speaking with a resident in person or on the phone and they're paying you directly (cash, cheque, e-transfer), use Manual instead; see "Recording a manual payment."
Until the resident pays, the charge continues to show its normal deposit status (due later, due now, or overdue) rather than "Paid." You can send the link again at any time by repeating these steps; the previous link is replaced.
Once the resident completes the payment, the invoice and journal entry post automatically, exactly like any other card payment on the booking. See "How deferred deposits post to your books."
