  • Locked lines: required fees and deposits
  • The one line you can toggle: optional add-ons
  • Deposit deferral is computed, not chosen
  • Why staff can't just pick which lines to collect

When you're recording a manual payment, the price lines on the confirm step behave the same way they do on a card booking: some are locked, and one kind is the only one you can turn off. Here's what each icon means and why.

Locked lines: required fees and deposits

Any line marked required, and the security deposit line, show a padlock icon instead of a toggle. These are always collected; there's nothing to switch off. This isn't new to manual payment, it's how the confirm step has always worked, it just matters more here because you're the one entering what was collected.

  • Required fees are a condition of the booking. If the amenity charges a booking fee, it's collected every time, card or manual.

  • The deposit is refundable but still locked at booking time. It isn't optional; it's just handled differently (see below).

The one line you can toggle: optional add-ons

Only lines the amenity marks as optional (an add-on that isn't required and isn't the deposit) get a toggle. A cleaning add-on is the typical example: staff can turn it on or off depending on whether the resident wants it.

Deposit deferral is computed, not chosen

If the amenity has deferred deposit collection turned on, the deposit line still shows as locked, but the confirm step (and the totals at the bottom) automatically split what's being collected right now from what's deferred to later. For example: a $45.00 fee collected now, with a $150.00 deposit deferred to 48 hours before the booking. Staff never choose this split manually; it's computed from the amenity's own settings, identically whether the booking is paid by card or recorded manually.

Why staff can't just pick which lines to collect

Earlier design drafts for manual payment considered letting staff manually choose which lines to collect versus skip. That was intentionally dropped: fee-versus-deposit handling stays computed and consistent across every payment method, so the accounting behind a manual booking always matches a card booking line for line.
