How to return an entire amenity deposit to a resident by setting the keep amount to $0, what happens to the refund and invoice, and when a return can no longer be canceled.

When there's nothing to keep, whether the amenity was left exactly as it should be, or you simply choose not to retain anything, set the Manage deposit popup's keep amount to $0 to return the entire deposit to the resident. This is a pure return: no category, reason, or evidence is required.

Who can do this: Any staff member, property manager, or board member with the Process refunds permission on the property.

Steps

  1. Open the deposit's Manage deposit popup (see "Managing an amenity deposit" for how to get there).

  2. Set Amount to keep to $0. The category, reason, evidence, and acknowledgement fields you'd see for a keep are hidden entirely, since none of them apply.

  3. Optionally add an internal note. This field is for your own records only, the resident never sees it.

  4. Click Return deposit to submit.

What to expect

  • The full deposit amount is refunded back to the resident's original card through Stripe.

  • The resident is notified, by push notification and email, that the deposit was returned. The notice covers the full outcome even though nothing was kept.

  • The deposit line item on the booking becomes a resolved row showing "Returned $X," with the amount marked pending until Stripe finishes processing it, and settled after.

  • While the refund is still pending in Stripe, you have the option to cancel it. See "Canceling a pending deposit refund."

  • Once a return has settled (finished processing), it can no longer be canceled from this popup. URBI intentionally does not re-charge a resident's card to reverse a completed return, if a mistaken return needs correcting after it settles, handle it as a new charge through the booking's standard billing tools rather than through this popup.

Notes

  • A pure return still notifies the resident the same way as a keep or a split, they'll always know a deposit was resolved and what happened to it.

  • The invoice picks up a credit line just like a partial keep. A full return means the entire deposit amount shows as a negative "Deposit refunded/returned" line on the booking's invoice, and the invoice total recalculates to reflect it. See "How deposit money moves."

  • Mobile works the same way. Setting the keep amount to $0 on the mobile full-screen version of the popup produces the identical pure-return flow.
