Terminology: This universal guide uses neutral descriptions. Follow the property-specific people and location labels shown in your workspace.
Document sharing lets you control exactly who can see each file and folder in Documents, the way you would in a shared drive. By default a new document or folder is visible to every staff and governance member at the property. You can restrict it to specific groups (PMs, Board, Staff) or specific people, make it Public so the wider property community can see it too, or create a time limited link so someone outside URBI, like a vendor or an insurer, can open it without signing in.
Sharing a folder passes access down to everything filed inside it, so you only have to set it once. A document can never be more private than the folder that holds it. Turning Public on always wins over any restriction, because Public means visible to everyone in the property community.
Who can use it: any staff, site administration or governance member with document permissions at the property. Governance members and staff without document editing rights can still view items shared with them, but cannot change sharing.
Where to find it: Sidebar, Documents. Every file row and folder card has a Share button, plus a checkbox for adding it to a multi-item selection. Selecting more than one item shows a bulk bar floating over the page (it docks to the bottom of the screen on a phone) with Share, Move and Delete.
