Expenses waiting for your approval and RFPs waiting for a vendor choice appear in Approvals alongside board votes. They use the same card layout and the same ways of deciding.

Approving or declining an expense

  1. Select the scales icon in the top bar to open Approvals.
  2. Find an Expense card. It shows the property and date, the vendor, the amount in large type, and a few key facts such as the account, who submitted it and whether a receipt is attached.
  3. Select View details if you want to check the receipt or line items first.
  4. Decide the expense:
    • Swipe right, select Approve, or press the right arrow key to approve it.
    • Swipe left, select Decline, or press the left arrow key to decline it.
    • Swipe up, select Skip, or press the up arrow key to pass on it without deciding either way.

APPROVE
  1. If you decline, a short box asks "Why are you declining this? (optional)". Type a reason, or leave it empty, then select Decline to confirm. Select Cancel to go back to the buttons.
  2. A line under the buttons confirms your last decision, such as "Approved" followed by the vendor name, with an Undo button. Press Cmd+Z (Control+Z on Windows) to undo as well.

Approving an RFP

An RFP card can only be approved after you choose a vendor.

  1. Open an RFP card in Approvals.
  2. The card shows how many board members have voted and lists each vendor with its price estimate and vote counts. Select the vendor you want. Until you do, the card shows "Choose a vendor to approve" and Approve stays unavailable.
  3. Approve the card by swiping right, selecting Approve, or pressing the right arrow key. The vendor you chose is the one approved.

Your decisions are saved when you finish a group

Cards are grouped by type. Your decisions for a group are submitted when you decide the last card in that group, and the decision on that last card is always included. If you close Approvals before that, you are asked whether to keep voting or close without submitting.

Closing Approvals

Select Done, press Esc, or click outside the pop-up. The header's progress bar shows how far through the stack you are, for example "3 of 4".
