How to schedule a visitor

Use Visitors to schedule an expected guest, keep their visit details in one place, and mark them checked in when they arrive.

Who this is for: residents using the URBI app. You need your visitor's name and the date they are expected.

Open Visitors and choose a date range

Open Visitors and use the filters to see Today, This Week, or 30 Days. Turn on Past if you also want to see checked-in, no-show, or cancelled visits.

Schedule a visitor

Tap the + button, or tap Schedule a Visitor when the list is empty. On the Schedule Visitor screen, enter:

• First Name and Last Name, which are required.
• Expected Date, in YYYY-MM-DD format. You can also tap Today or Tomorrow.
• An optional Expected Time, in HH:MM format.
• Optional email, phone, company, and notes.
• Include Parking if you want to reserve a visitor parking spot.

Tap Save when you are done.

The app confirms that the visitor has been scheduled. It does not show a guest invitation, pass, or message being sent from this screen. Share any arrival instructions with your guest using your usual method.

Check in or cancel a visit

An upcoming visitor appears with an Expected status. When they arrive, tap Check In, then confirm Check In. The card changes to Checked In and shows the check-in time.

If plans change before the visit, tap Cancel, then confirm Yes, Cancel.
