How a home changing hands affects your portal access: transfers are handled by your property, not the portal, and what to expect for access and outstanding balances.

From time to time, a home changes hands. This could be a sale, a move-out followed by a new move-in, or simply a change in who is associated with a home (for example, adding or removing a co-owner or co-resident). This article explains, in general terms, what that means for your portal access and what to expect. Note that your property may use a different word than "home" (for example, "unit" or "suite"); this article uses "home" generally.
Transfers are handled by your property manager or board, not by anything you do inside the portal. The portal itself does not process sales, move-outs, or changes of ownership. Your property staff update who is associated with a home on their end, using their own tools, following whatever process and paperwork your property requires.
Your portal access to a given home is tied to whether you are currently associated with it in your property's records. When your property manager updates that association, for example, removing an outgoing owner and adding a new one, or ending a resident's occupancy and starting the next one's, that update is what determines whose portal shows that home, its charges, its invoices, and its balance going forward.
In practice, this means:
Once you are added to a home, it becomes visible in your portal, generally showing up in your account summary and, if you have more than one home, in your home selector.
Once your association with a home ends, it generally stops appearing in your portal as an active home you can select and manage day to day.
You may gain access to a new home. If you are the incoming owner or resident, expect the home to appear in your portal once your property manager has completed the update on their end. This does not usually happen instantly, so allow some time after move-in or closing.
You may lose access to a home you are leaving. If you are the outgoing owner or resident, expect the home to eventually stop appearing as an active home in your portal once the transfer is complete.
Outstanding balances follow your property's rules. Any balance owed on a home at the time of a transfer is handled according to your property's own policies, for example, how a final statement, closing adjustment, or move-out balance is settled. This is not something the portal decides; it is a property-level policy question.
A balance can still be payable even if a home is no longer selectable. As explained in "Managing More Than One Home," a home you are no longer actively associated with may drop out of your home selector, but any balance still owed on it stays payable and included in your account total until it is resolved.
If you are moving in, buying, or being newly added to a home, and it has not yet appeared in your portal, this is often just a timing question while your property manager finishes the update. Reach out to them if it has been longer than expected.
If you are moving out, selling, or being removed from a home, expect your portal access to that home to change once the transfer is processed, not necessarily the same day it happens in real life.
Any outstanding balance tied to a home involved in a transfer is a property-level matter. Your property manager can tell you exactly how it is being handled in your specific case.
The portal does not initiate, approve, or reverse a transfer. If something about a transfer looks wrong to you, for example, a home that should have transferred but hasn't, or one that transferred that shouldn't have, that is a question for your property, not something to try to fix in the portal.
Q: I just moved in (or bought my home). Why don't I see it in my portal yet? A: Your property manager needs to update their records before the home appears in your portal. This can take some time after your move-in or closing date. If it has been a while, follow up with your property manager.
Q: I moved out (or sold my home). Will I still be able to see it in my portal? A: Once your property manager completes the transfer on their end, the home generally stops appearing as an active home you can select. If you still owe a balance from before you left, that balance may still show up until it is resolved, even though the home itself is no longer active for you.
Q: Who do I contact about a transfer that hasn't happened yet, or seems wrong? A: Your property manager or board handles transfers directly. They can tell you the status of a specific transfer and correct any errors on their end.
Q: Will I be notified in the portal when a transfer happens? A: The portal does not automatically send you a transfer-specific notice. Any communication about the transfer itself, including any balance settlement, will come from your property manager as part of their process.
Q: Does the portal handle the paperwork or money involved in selling or buying a home? A: No. The portal only reflects who is currently associated with a home and that home's billing information. Any sale, closing, or paperwork happens outside the portal, through your property manager, realtor, or legal process, as applicable.
