Introduction

When you use the URBI app to reserve an amenity (like a gym, party room, or guest suite), the app checks your building’s amenity booking rules before confirming your reservation. These rules are set by your building, not URBI, and they help ensure fairness and smooth scheduling.

Here’s a breakdown of the rules you may encounter, what they mean, and how they affect your booking options.


1. Booking Limit (per year)

What it means:

This sets the maximum number of times per year your unit can book a specific amenity.

  • Example: If the rule is set to 3, your household can only make 3 bookings for that amenity within the calendar year.

  • If you’ve reached this limit, the booking button in the app will show:

    “Reached Max Booking for the Year.”

Tip: A value of -1 means there’s no limit — you can book as often as you want.


2. Maximum Total Active Bookings

What it means:

This limits how many upcoming bookings you can have at one time (bookings that haven’t yet ended).

  • Example: If set to 2, and you already have 2 future reservations, you won’t be able to create another one until one of them finishes.

  • In this case, the button will show:

    “Reached Max Booking Limit.”

Tip: This rule looks only at active and future bookings, not ones already completed.


3. Maximum Colliding Bookings (Overlap)

What it means:

This defines how many people can book the same time slot.

  • If the value is 1: only one booking can exist in a time period.

  • If the value is 2: two people can book the same time, but a third cannot.

  • If it’s -1: unlimited overlap is allowed (anyone can book at the same time).

How this looks in the app:

  • Time slots that are already full will be disabled (greyed out).

  • If you pick a start time that bumps into another booking, the app won’t let you extend your booking beyond the colliding time.

Example:

If someone already booked 9:00–10:00 am, and you pick 8:00 am as your start, you won’t be able to select an end time past 9:00 am.


4. Confirmation Required

What it means:

Some amenities require approval before your booking is finalized.

  • If confirmation is required, the booking button will say:

    “Send Confirmation Request.”

  • If no confirmation is required, it will say:

    “Book Amenity.”

Tip: You’ll be notified in the app when your confirmation request is approved or declined.


5. Booking Notice (Advance Hours)

What it means:

This sets how far in advance you must book.

  • Example:

    • If it’s 24, you can only book times that start at least 24 hours later.

    • If it’s 48, you must book 2 days in advance.

    • If it’s -1, there’s no restriction — you can book the next available slot immediately.

Scenario:

  • If the current time is Monday at 12:00 pm and the rule is 24: the earliest you can book is Tuesday 12:00 pm.

  • If the rule is 48: earliest booking is Wednesday 12:00 pm.


6. Maximum Continuous Booking (Duration)

What it means:

This sets the longest time span you can book in one session.

  • Example: If set to 2 hours, you can only pick a slot up to 2 hours long.

  • In the time selector, all options past your maximum will be disabled.

Scenario:

  • If you choose 8:00 am as your start time and the max is 2 hours, your latest end time option will be 10:00 am.

  • Any slots past that will be greyed out.


Conclusion

These rules help balance fairness, prevent double-bookings, and keep shared spaces available for everyone. If you ever see a disabled time slot, a greyed-out option, or a special message on the booking button, it’s because one of these rules is in place.

If you believe a rule is too strict or doesn’t reflect your building’s needs, reach out to your property manager or board — they control the rule settings, not URBI.
