Sometimes a GL account was set up by mistake, or your bookkeeping has simply outgrown it. URBI now gives you two safe ways to clean up your chart of accounts: delete it outright, or deactivate it (archive it) so it is hidden from everyday use while its history stays intact.
URBI never lets you delete an account that has real history behind it. If posted ledger activity, other settings, or a recurring journal-entry template still point to the account, delete is blocked and URBI shows you exactly what is still referencing it, so you can decide what to do next.
Who can use it: Staff and property managers with general ledger access. Board members can view the chart of accounts, including inactive accounts, but delete and deactivate are not available to board accounts.
Go to your property's Accounting settings and open the Chart of Accounts. Open the account you want to remove and use the Delete or Deactivate action.
| Delete | Deactivate (Archive) | |
|---|---|---|
| Removes the account from the list | Yes, permanently | No, it is hidden from the active list but still exists |
| Blocked if there's history or references | Yes | No |
| Can you undo it | No | Yes, by reactivating |
| Best for | An account created by mistake with no activity yet | An account you no longer post to but that has real history |
See How to Delete or Deactivate an Account for the exact steps.
