The kebab menu (three dots) on each row in the Budget list holds the housekeeping actions for that budget. Which ones you see depends on the budget's status, because URBI only offers what will actually work.


Open the kebab menu

  1. In the left sidebar, go to Accounting, then Budgets.
  2. Click the Budget list tab.
  3. Click the three-dot kebab icon on the right side of the budget row you want to manage.

What each status offers

Archived View Duplicate

An archived budget no longer offers Rename or Archive. Those actions were always refused on an archived budget, so they are no longer shown. If you need to work from an archived plan, Duplicate it and edit the copy.


Duplicate

Creates a copy of the budget as a new Draft, named Copy of the original by default. Useful for building next year's budget from this year's, or for working on an alternative without touching a live budget.

  1. Click Duplicate.
  2. Give the copy a name.
  3. The new Draft appears in the Budget list and can be edited immediately.

The copy is complete. It carries every group and account, every monthly amount, each row's entry mode, the order you arranged your categories in, any carried-over surplus, and the whole record behind each number: the explanation, what the figure rests on, the date that was current, the confidence, and the baseline. Scenarios are not copied.

It is also all or nothing. If a duplicate cannot be completed, nothing is created, so you never end up with a half-made budget to clean up. On success you see "Budget duplicated as a new draft".

If the name is already taken for that fiscal year, URBI says so in plain words and tells you what to do about it, rather than showing a database error.


Rename

Changes the display name of the budget. Available on Draft and Active budgets, not on archived ones.

  1. Click Rename.
  2. Type the new name.
  3. Click Save.

Every budget name has to be unique within its fiscal year. If it is not, the dialog tells you before anything is saved.


Archive

Moves a budget to Archived status. It is no longer the live budget, but all data and performance history are preserved. Archived budgets are read-only, so you can still open one with View, but you cannot edit it.

Besides the row's kebab menu, you can also archive a budget directly from the toolbar while it is open in the full-page editor.

Once archived, the budget moves out of the budget-selector dropdown in the editor toolbar and into a collapsible Archived section at the bottom of the Budget list.

Use Archive when you are replacing an Active budget with a new one, or when a Draft is no longer needed but you want to keep the record.

Tip: Archiving the current Active budget is the required first step before you can activate a new Draft for the same fiscal year. See How to make a new budget when one is already active.


Delete draft

Permanently removes the budget. Delete is only available for Drafts. Active and archived budgets cannot be deleted; archive them instead.

  1. Click Delete draft.
  2. Confirm in the dialog.

The Draft is removed and cannot be recovered.

Deleting is written to accounting history, naming what was removed and who removed it. One honest caveat: that record is written after the budget has already gone, so if the record itself fails you will see a failure message even though the budget was deleted. If that happens, check the Budget list before trying again.
