Why was I blocked from deleting an account? URBI blocks a delete whenever the account has real history behind it, for example posted journal entries, other accounting settings that reference it, or a recurring journal-entry template that uses it. The block screen lists the specific reasons so you know exactly what to check.
Can I force a delete anyway? No. URBI never destroys ledger history. If the account has any of the references above, use Deactivate instead to archive it rather than deleting it.
What's the difference between deleting and deactivating? Delete permanently removes an account and only works when nothing references it. Deactivate (archive) hides the account from the default list and from new choices in account pickers, but keeps it and its full history intact, and can be reversed. An existing record that already uses the account continues to show it with an Inactive label until you choose an active replacement.
Can I bring back a deactivated account? Yes. Use the Archived filter on the Chart of Accounts to find it, then reactivate it from there.
Does deactivating an account affect my past reports? No. Deactivating only removes the account from active use going forward. Every journal entry it was ever part of, and every report that includes that history, stays exactly as it was.
What if a recurring journal-entry schedule still uses the account I'm deactivating? URBI lets you deactivate the account but shows you a non-blocking heads-up that a recurring schedule still references it. Check your Recurring GL tab afterward to update or pause that schedule if needed.
Can board members delete or deactivate a GL account? No. Board accounts can view the chart of accounts, including archived accounts, but delete and deactivate are staff/PM-only actions.
