Pay several bills at once by Direct Deposit payout

1. Open Pay Bills and select the bills you want to pay.
2. Choose Direct deposit as the way to pay. URBI checks each vendor's bank details and shows what will happen to every bill before you continue.
3. Direct deposit pays Canadian-dollar bills only. A bill in another currency is set aside here, before anything is paid, with the reason shown next to it.
4. Pick the pay date, the day each vendor's money should arrive, and the accounting date, the date the payments belong on in your books. National Bank builds its payout file once a day at 1:30 pm Toronto time, so if you confirm after that cutoff, the earliest pay date moves to the next day; URBI will not let you pick a date it cannot meet.
5. Review the list, then confirm. Each ready bill is paid and its payout is queued for the bank.

Before you confirm, every bill says what will happen to it, including a bill Direct deposit cannot pay.

Vendors who have not given their bank details

6. A vendor who has a contact that can sign in stays in the run. Their bill is paid, the payout waits, and the vendor is emailed once asking for their details.
7. When that vendor adds their details, their waiting payouts are released automatically, at every property that pays them.
8. To nudge a vendor, open the bill and select Send reminder. The reminder reflects what the payout is actually waiting on.
9. A vendor with no bank details and no contact who can sign in is left out of the run. If the vendor's only email is on the vendor record itself, that address cannot be used to sign in, so the results page tells staff to add a real contact for the vendor instead of waiting on an email that can never be opened.

After the run

10. The results screen shows each bill's outcome: paid, waiting on the vendor, returned or cancelled by the bank, skipped with a reason, or failed.
11. The totals at the top separate the money. Total paid is the money that has gone out or is on its way to the bank. A payout the bank later returns or cancels is shown as Returned or Cancelled and is removed from this total, it no longer counts as paid. Not sent is money that will not move until something changes, such as a vendor who still has not given their bank details.
12. If a payment was recorded but its payout could not be handed to the bank, that row offers Retry the delivery. The retry tells you plainly whether the payout went out, is still waiting for the vendor's bank details, or failed again. If a retry lands back on hold for missing bank details, URBI emails the vendor again to ask for them.
13. Payments post on the accounting date you chose. If that date falls in a closed accounting period, the run is refused rather than moved, so ask your accountant for an open date and submit again.

A payout the bank returns or cancels is shown plainly, and is no longer counted as paid.

Good to know

• Cheque runs do not offer a delivery retry. Use the cheque reprint process instead.
• Running the same selection twice does not pay a bill twice: URBI recognises a bill it has already paid in that run.
• Every release is recorded in the bill's history, including a payout that released on its own after the vendor added their details.
• Confirm and Retry show the specific reason for a refusal, such as a closed accounting period or a pay date that has already passed, instead of a generic message.
