General Ledger and Invoice Display: Overview

A set of display fixes to the invoice detail sidebar and the general ledger screens. Nothing about how a transaction is recorded has changed. What changed is how clearly URBI shows you what already happened: what is still owed, what an amount's colour means, and which records a ledger entry is connected to.

Who can use it

These screens are for property management staff, property managers, and board members with accounting access. What you can see follows your accounting permissions for the property.

Where to find it

Open Accounting from the main navigation, then General Ledger for the ledger page, or open any invoice from Accounting > Transactions to see the invoice detail sidebar.

What changed

• The invoice sidebar now shows what is actually owed. The big number at the top of an invoice used to show the full invoice total, even after part of it had been paid. It now shows the Balance Due, and the invoice Total is still shown, as its own row in the Balance section, right below the paid progress bar.
• The expanded row heading now says "Activity & audit." It used to say "Lifecycle." This matches the wording already used in the journal entry detail drawer, so the same kind of information is labeled the same way everywhere.
• The four summary cards at the top of the ledger page now work. Clicking Entries This Month, Total Posted (MTD), Drafts Awaiting Review, or Unreconciled filters the list to exactly what that card counts. See How to Filter the Ledger with the Summary Cards.
• Amount colours now reflect what happened to the account, not a fixed debit or credit rule. A green amount means that account's balance went up; a red amount means it went down. See Reading the Colours on Journal Entries, the most important article in this set if the colours ever look surprising.
• A payment entry now links to everything it touched. Every invoice the payment settled, the payment itself, the unit, and the billing account all appear in Related Records. See Following a Payment to Its Invoices.

Why this matters

Before these fixes, a part-paid invoice could look unpaid at a glance, the colours on a journal entry could send the wrong signal for some account types, and a payment that covered several invoices only showed a link to one of them. None of that changes any dollar amount or any accounting entry. It only changes what you see and how clearly it is labeled.
