Ask the assistant to prepare a journal entry when you know what should be recorded but want help laying out the entry for review.

What the assistant can propose

Describe the transaction, the amount, the date, and the accounts involved. The assistant can propose a journal entry with:

  • The posting date
  • A description
  • Debit and credit lines
  • An amount and account for each line

The proposal lets you review the complete entry before anything changes in the books.

Review and confirm

  1. Ask the assistant to create the journal entry and provide the transaction details.
  2. Review the proposed date, description, accounts, debits, and credits.
  3. Confirm the proposal only when every detail is correct.

Nothing posts when the assistant prepares the proposal. The journal entry posts only after you confirm it. If you do not confirm, no entry is created.

Closed or locked periods

The assistant refuses to create an entry in a closed or locked accounting period. Choose an allowed posting date or follow your organization's process for reopening the period before trying again.

Good to know

  • You need the appropriate accounting access to create a journal entry.
  • Confirming is the step that posts the entry.
  • Review both sides of the entry and make sure total debits equal total credits before confirming.
