When a journal entry was created by a payment, you can now see everything that payment touched: every invoice it settled, the payment itself, the unit, and the billing account behind it. Nothing is left off the list, even when a record cannot be shown as a link.
Steps
- Go to Accounting > General Ledger.
- Find a journal entry whose source is a payment, and click it to expand the row. Click Open full details to open the full Journal Entry detail drawer.
- In the Journal Entry detail drawer, click Related Records in the left-hand section list.
- The Related Records panel groups what it shows under headings like Source & documents, Payments & applications, and People & accounts. Under Source & documents you will see every invoice the payment was applied to, not just one.
One payment can be applied across several invoices at once. If it was, all of them show up here, each as its own link. This is why the count on this panel can be higher than you might expect for a single payment.
- Under People & accounts, you will see the unit and billing account behind each invoice. When a payment covers invoices for more than one unit or billing account, they are grouped so you can tell which unit and billing account go with which invoice.
What a greyed-out or non-clickable record means
Not every related record can always be opened. URBI shows one of two different states for a record it cannot turn into a working link, so you can tell them apart:
- Restricted: the record exists, but either you do not have access to it or it belongs to a different property than the journal entry you are viewing. It appears with a dashed border and a note explaining why, for example "You do not have access to this record. It belongs to a different property than this entry."
- No longer available: the record could not be found at all, for example if it was deleted. It appears greyed out with a note reading "This record no longer exists or could not be found."
Either way, the record still appears in the list. URBI never silently drops a related record just because it cannot be opened, it shows you that the record exists and explains why you cannot click into it.
