Troubleshooting: Recurring Journal Entries

A schedule paused itself

What it means: If a schedule fails to generate its entry several times in a row, for example because an account on it was deactivated, URBI automatically pauses it after 3 consecutive failed attempts so it does not keep failing silently in the background.

What to do: Open the schedule from the Recurring GL tab, click Edit, and confirm every account on its lines is still active and that the amounts are correct. Once you have fixed the issue, use Resume to re-arm the schedule for its next run date.

I don't see the Recurring GL tab

What it means: The tab only appears once at least one recurring schedule exists for the property.

What to do: From the General Ledger page, click Add Journal Entry, build the journal lines, and flip the Make it recurring toggle to create your first schedule. See How to Create a Recurring Journal Entry Schedule. Once saved, the Recurring GL tab appears and stays available going forward.

A generated entry isn't showing up in my reports

What it means: Generated entries always post automatically and appear in your GL and financial reports as soon as they generate, there is no draft step holding them back. If an expected entry is missing, the most likely cause is that the schedule has paused itself after repeated failures (see above), or its next-run date has not been reached yet.

What to do: Open the Recurring GL tab and check the schedule's status and next-run date. If it shows as paused, fix the underlying issue and click Resume. If it is due but still missing, use Run Now to generate it immediately, or contact support if the entry still does not appear.

I can't edit, pause, or delete a schedule

What it means: Board member accounts have view-only access to recurring schedules by design. You can see the schedule list and every generated entry, but the create, edit, pause/resume, and delete actions are not available.

What to do: Ask a staff member or property manager with general ledger access to make the change.
