This article covers how to disconnect QuickBooks Online from a property, what disconnecting does and doesn't affect, and what happens when you reconnect afterward, including why the setup wizard reappears.

Who can do this: A property manager or board member with manager-level access to the property.


What disconnecting does

Disconnecting stops URBI from pushing anything new to QuickBooks. It does not touch anything already synced:

  • Invoices, bills, payments, and journal entries already pushed to QuickBooks stay exactly as they are in QuickBooks.
  • Nothing is deleted or reversed in either system.
  • New invoices, expenses, and payments created in URBI after disconnecting simply stop syncing to QuickBooks until you reconnect.

Disconnecting is a soft stop on URBI's side. It doesn't reach into QuickBooks to revoke anything from QuickBooks' own connected-apps settings, if you also want to remove URBI's access from within QuickBooks Online itself, do that separately in QuickBooks.


Step by step: disconnecting

  1. Open the property's Accounting settings and open the QuickBooks Online drawer.

  2. On the Connection tab, click Disconnect.

  3. A confirmation dialog appears: "Disconnect QuickBooks Online?" with a reminder that entries already synced are unaffected, but new invoices, expenses, and payments won't push to QuickBooks until you reconnect.

  4. Click Disconnect to confirm. The drawer updates immediately to show the disconnected state, and a confirmation toast appears.


What happens when you reconnect

Reconnecting (either after a deliberate disconnect, or after clicking Reconnect on a broken "Reconnect needed" connection) runs through the same authorization flow as the original connect. Once it completes:

  • The post-connect wizard reopens automatically, the same four-step flow from initial setup (Connected, Map Accounts, Preview, Launch).
  • Any account mappings you set up before are still there; you're not starting mapping from scratch, you'll only need to map anything new.
  • The fiscal-year backfill runs again, picking up anything that happened while the connection was disconnected or broken, so QuickBooks catches back up with URBI.

This is intentional: since new activity didn't sync while disconnected, running through mapping and the backfill again ensures nothing that happened during the gap gets missed.


Behind the scenes

  • Disconnecting writes an entry to the property's accounting audit log, so there's a record of who disconnected it and when.
  • Reconnecting clears the marker URBI uses to track "the backfill already completed once," which is exactly why the wizard reappears. It's not a bug or a reset of your existing data, it's the mechanism that makes sure the gap between disconnecting and reconnecting gets backfilled.
  • If a connection goes into "Reconnect needed" (broken) on its own, rather than being manually disconnected, reconnecting also triggers URBI to catch up on anything that was missed while it was broken, in addition to reopening the wizard.

Edge cases and troubleshooting

  • I disconnected, and now the Disconnect button is gone. That's expected. Once disconnected, the Connection tab shows the not-connected empty state with a Connect button instead.
  • I reconnected and now I have to go through the whole wizard again. Is that a mistake? No, this is expected behavior any time a connection is reestablished, whether after a manual disconnect or after fixing a broken connection. It ensures anything that happened while disconnected gets synced.
  • Will I lose my account mappings if I disconnect and reconnect? No. Mappings are saved against the property, not the connection session, so they carry over. You'll only need to map accounts that are new since the last mapping pass.
  • I disconnected by accident. Can I undo it? There's no separate "undo," but reconnecting is quick, just click Connect again and go through the same authorization flow; your prior mappings and history aren't lost.
  • Someone else disconnected QuickBooks and I don't know why. Check the property's accounting audit log for the disconnect event, it records who disconnected and when.

FAQs

Does disconnecting cancel our QuickBooks Online subscription? No. URBI's connection is independent of your QuickBooks Online subscription itself. Disconnecting only affects the sync between URBI and QuickBooks.

If I disconnect, will QuickBooks still show all our past data? Yes. Anything already synced before disconnecting stays in QuickBooks permanently. Disconnecting only stops future syncing.

Do I need to redo account mapping every time I reconnect? No, only for any accounts that are new since your last mapping pass. Previously mapped accounts stay mapped.

Will reconnecting double-push transactions that already synced before we disconnected? No. The backfill and ongoing sync are both designed to avoid re-pushing things that already made it to QuickBooks; the catch-up on reconnect targets what was missed during the disconnected period, not what already synced.
