If you post the same journal entry every month (a management fee, an insurance allocation, a lease amortization), you no longer have to build it from scratch each time. Recurring Journal Entries let you create a reusable template once and attach a schedule that generates the entry automatically on whatever cadence you choose.
Each generated entry is a real, balanced journal entry that is fully audit-logged, exactly like one you post by hand. Generated entries always post straight to the general ledger (GL) on their scheduled date, there is no draft step to review first.
Who can use it: Staff and property managers with general ledger access can create and manage recurring entries. Board members can view schedules and generated entries but cannot create, edit, pause, resume, or delete them.
You create a recurring entry from the same place you create any journal entry, there is no separate creation screen. Open Accounting, then the General Ledger page, and click Add Journal Entry. Inside that modal, flip the Make it recurring toggle to turn a normal entry into a recurring schedule.
Once at least one recurring schedule exists for the property, a Recurring GL tab appears alongside your other GL tabs. It lists every schedule and lets you Run Now, Edit, Pause, Resume, or Delete each one. Clicking New Recurring Entry from that tab opens the same Create Journal Entry modal, with "Make it recurring" already turned on.
| Term | What it means |
|---|---|
| Template | The reusable shape of the entry: the accounts, amounts, and description that get posted every time. This is now an invisible implementation detail, one template per schedule, automatically created behind the scenes. There is no template library or picker to manage separately. |
| Schedule | The cadence attached to a recurring entry: how often it runs, when it runs next, when it stops, and whether the first occurrence posts immediately or waits for the start date. |
| Run Now | An ad-hoc, one-off posting from a schedule, separate from its regular cadence. |
| Ends mode | How a schedule stops generating new entries: Never (runs indefinitely until paused or deleted), On a date (stops after a chosen end date), or After N occurrences (stops after a set number of generated entries; you enter the count and URBI computes the resulting end date for you). |
