Mapping Payers to Units

The Units step looks at every payer name in your income lines and proposes which unit, and which specific person on that unit, the payment belongs to.

How matching works

URBI tries to match each payer name to a specific community member, someone who is currently living at or owns the unit, or someone who used to. Both current and former members can be matched.

• If the match is to a current member, it is treated as a normal, ongoing payer for that unit.
• If the match is to a former member, URBI shows a legacy receivable badge on that row. This is a flag that the balance is tied to someone no longer at the property, so you know to treat it as older, historical business rather than an active resident's account.

Steps

1. Review each payer row. URBI shows its best match to a unit and a person, current or former.
2. If a unit has more than one member on it, choose which one should be the primary payer for this receivable. If the unit only has a single member, URBI sets that person as primary automatically and there is nothing to choose.
3. If the proposed match is wrong, correct it by searching for the right unit and person.
4. If a payer genuinely cannot be matched to anyone, use Exclude to leave that line out of the import rather than leaving it unresolved.
5. Once every payer row is resolved, click Continue to move to the review and commit step.

Good to know

• A "legacy receivable" badge does not mean anything is wrong, it is simply telling you the payment history belongs to someone who is no longer at the property, which is common in older ledger history.
• If a unit does not already have a billing account set up in URBI, one is created automatically as part of committing the import, so the payment history has somewhere to land. You do not need to set this up yourself beforehand.
