Reviewing Account Proposals

The Accounts step lists every distinct account code found in your file. Instead of asking you to resolve each one from scratch, URBI now arrives with a proposal already made for each account. Your job is to confirm each proposal or correct it, not to build the match yourself.

The four kinds of proposals

• Create, URBI did not find a good match in your chart of accounts, so it proposes creating a brand-new account with the name from your file. It also suggests an account type (asset, liability, income, and so on) based on the account's name and whether it behaves like a debit or credit in your file. Always double-check this suggested type before continuing; confirm it is correct for how you want to report on it.
• Recode, URBI found an existing account with the exact same name in your chart of accounts, and it is safe to adopt your file's account code as that account's new code going forward. This only happens when the match is safe: the account type lines up, it is not one of URBI's protected system accounts, it has no posted history that would conflict, and the code from your file is not already used elsewhere in your chart, including inactive accounts.
• Map only, URBI found a likely matching account, but recoding was not safe (for example, the account already has posted activity, or the code is already in use elsewhere). Your file's account will link to the existing account instead of relabeling it, and the reason recoding was not offered is shown on the card.
• Manual, URBI found more than one existing account with the same name (for example, two accounts named the same thing but with different types), so it is not going to guess. You need to pick the right one yourself.

Reviewing and editing a proposal

1. Read through each account card. Green or confirmed-looking proposals can usually be accepted as-is; anything marked Manual needs your input before you can continue.
2. To change a Create proposal's account type, use the type selector on the card.
3. To turn a Create proposal into a match instead of a new account, use Map to existing on that card and search your chart of accounts for the right one. This is useful if you spot that an account you thought was new actually already exists under a slightly different name.
4. For a Manual proposal, use Map to existing to search and pick the correct account from your chart.
5. Once every account on this step is resolved, click Continue to move to Vendors.

Good to know

• A Recode only happens under a strict set of safety conditions. If you see Map Only instead of the recode you expected, check the reason shown on the card, usually it means the existing account already has posted history or its code is claimed elsewhere.
• Nothing is created or relabeled in your live chart of accounts until you commit the import. You can revisit and change any proposal before then.
